Workshop terms
These terms apply to all MyTappyPlace workshops and training for organisations. Version 1.0, 23 October 2026.
1. About these terms
1.1 These terms apply to every workshop, training session and related service provided by MyTappyPlace Ltd, a company registered in England and Wales (company number 16922233), whose registered office is at 22 Littlehampton Road, Worthing, BN13 1QH ("we", "us", "our").
1.2 "Client" means the organisation booking the workshop. "Participants" means the people who attend. "Workshop" includes taster sessions, half-day and full-day workshops, bespoke programmes and carers' workshops, whether delivered online or in person.
1.3 "Aftercare" means the tailored tapping sessions, time-limited app access and CPD reflection template provided after a workshop, as set out in the quote.
1.4 The quote and these terms together form the agreement between us. If the quote and these terms conflict, the quote takes priority. If the Client's own purchase order or supplier terms conflict with these terms, these terms apply unless we have agreed otherwise in writing.
2. Booking
2.1 Quotes are valid for 60 days from the date they are issued.
2.2 A booking is confirmed when the Client accepts the quote in writing (email is fine) and, where their organisation uses them, provides a purchase order number. For Clients who pay a deposit (section 4), the booking is confirmed once the deposit is received.
2.3 We hold a provisional date for 14 days while the Client arranges confirmation. After that the date may be released.
2.4 If the Client needs us to complete supplier set-up forms, we will do so promptly. The Client is responsible for making sure set-up is complete in time for payment to be made under section 4.
2.5 Before the workshop we will agree with the Client the format, expected numbers, venue or platform, any issues the team would like the session to focus on and a named wellbeing contact (section 8).
3. Prices, VAT and travel
3.1 Prices are as set out in the quote. Our published prices are a guide and the quote is final.
3.2 MyTappyPlace Ltd is not currently registered for VAT, so no VAT is charged. If we register for VAT before a workshop takes place, we will tell the Client in writing and VAT will be added at the standard rate from our registration date.
3.3 For online workshops there are no travel costs.
3.4 For in-person workshops, travel within 25 miles of our West Sussex base is included in the price. Beyond that, travel is shown as a fixed amount in the quote. Once the quote is accepted, no further travel costs will be added unless the Client changes the date, time or venue.
3.5 Travel is calculated at 45p per mile or standard-class rail fare. Where a workshop starts before 9:30am and the venue is more than 2 hours away, the quote will include one night's accommodation.
3.6 Where the venue is more than 2 hours' travel each way, the quote may include a fixed charge for travel time. This is always shown in the quote before the Client accepts it.
4. Payment
4.1 Public sector Clients (local authorities, NHS bodies and other public bodies): we invoice after the workshop has been delivered. No deposit is needed.
4.2 All other Clients (voluntary organisations, independent providers and private organisations): we invoice 50% of the fee on booking as a deposit and the balance after the workshop.
4.3 All invoices are payable within 30 days of the invoice date, by bank transfer to the account shown on the invoice.
4.4 Invoices will quote the Client's purchase order number where one has been given.
4.5 If an invoice is not paid on time, we may charge interest and recovery costs under the Late Payment of Commercial Debts (Interest) Act 1998. We may also pause aftercare and app access until payment is received.
5. Cancellation by the Client
5.1 The Client may cancel a booking by telling us in writing. The charge depends on how much notice is given before the workshop date.
| Notice given | Charge |
|---|---|
| More than 4 weeks | No charge |
| Between 4 and 2 weeks | 50% of the fee |
| Less than 2 weeks | 100% of the fee |
5.2 Any deposit already paid is set against the charge. Where no charge applies, the deposit is refunded in full.
5.3 If we have already begun tailoring sessions for the Client's team, the time spent is charged at £60 per hour whatever notice is given, up to the full fee.
5.4 Any non-refundable travel or accommodation we have booked is charged at cost.
5.5 A change of format (for example from in person to online) or a drop in numbers is not a cancellation, but may change the price.
6. Rescheduling and substitutions
6.1 The Client may move a workshop to a new date once, free of charge, if they tell us in writing at least 2 weeks before the original date. The new date must fall within 6 months of the original date.
6.2 A second request to reschedule, or a request made less than 2 weeks before the workshop, is treated as a cancellation under section 5.
6.3 If no new date is agreed within 6 months, the booking ends and 50% of the fee is payable, less any deposit already paid.
6.4 The Client may replace participants with colleagues at any time at no cost, as long as the group stays within the agreed size.
7. If we have to cancel
7.1 If Susana Carr is ill or cannot deliver a workshop for another reason outside our control, we will tell the Client as soon as possible.
7.2 Where both sides agree, an online workshop may go ahead on the same date, or an in-person workshop may move online.
7.3 Otherwise we will offer a new date at no extra cost. If no date suitable to the Client can be agreed within 3 months, we will refund in full any money the Client has paid for that workshop.
7.4 A co-facilitator will only deliver a workshop in Susana's place if the Client has agreed to this in advance.
7.5 Our liability for a workshop we cancel is limited to rescheduling it or refunding the fees paid for it. We are not responsible for the Client's other costs, such as room hire, catering or staff cover.
8. Client responsibilities, wellbeing and safety
8.1 The Client will name a wellbeing contact before the workshop. This person is available on the day and is the route for any wellbeing concerns about participants. We will pass any concerns to them on the same day.
8.2 For in-person workshops, the Client provides a suitable private room, with seating, access to water and any equipment agreed in advance. For online workshops, the Client makes sure participants can join the agreed platform with cameras available.
8.3 The Client will tell participants in advance what the workshop involves and that taking part in any exercise is voluntary.
8.4 During workshops participants work at a low level of intensity (around 3 to 5 out of 10) and are never asked to share what they are tapping on. Online, participants are asked to send a private message before stepping away.
8.5 The Client will tell us before the workshop about any access needs or adjustments participants need, so we can plan for them.
8.6 Workshops may not be recorded, filmed or photographed by the Client or participants without our written agreement.
9. Materials, aftercare and app access
9.1 All workshop materials remain the intellectual property of MyTappyPlace Ltd. This includes slides, handouts, scripts, audio, the CPD reflection template and the tailored aftercare sessions written for the Client's team.
9.2 Once the fee has been paid, the Client's team may use the aftercare sessions and handouts for their own practice and internal development for as long as they wish. They may not sell, publish, adapt for other organisations or use them to deliver training to others.
9.3 Tailoring the aftercare sessions to the team's issues does not transfer ownership of them to the Client.
9.4 App access included with a workshop runs for the period stated in the quote. Use of the app is governed by the app's own terms and privacy policy. Team app licences after that period are available by separate agreement.
10. Confidentiality and data protection
10.1 We keep confidential anything participants share during a workshop. We do not report on individual participants to the Client, except to pass on wellbeing concerns to the named wellbeing contact (section 8.1) or where the law requires it.
10.2 Both sides will keep confidential any business information the other shares in connection with the workshop, unless it is already public.
10.3 We may ask participants for anonymous feedback. We may share summary feedback with the Client. We will only name the Client or quote feedback publicly with the Client's written permission.
10.4 We handle personal data in line with UK GDPR and the Data Protection Act 2018, as set out in our privacy policy at mytappyplace.co.uk.
11. Health, liability and insurance
11.1 Workshops teach evidence-informed self-regulation techniques. They are not therapy, counselling or medical treatment and do not replace professional support. Participants who are receiving treatment for a health condition should check with their clinician if they have any doubts.
11.2 Participants take part at their own pace and may stop or step away at any time.
11.3 Our total liability under this agreement is limited to the fees paid for the workshop concerned. We are not liable for indirect losses, such as loss of income or staff cover costs.
11.4 Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law.
11.5 We hold public liability and professional indemnity insurance. Certificates are available on request.
12. Complaints, changes and law
12.1 If the Client is unhappy with any part of our service, please email susana@mytappyplace.co.uk. We will acknowledge complaints within 5 working days and aim to resolve them within 20 working days.
12.2 We may update these terms from time to time. The version sent with the Client's quote applies to that booking.
12.3 Neither side is liable for delay or failure caused by events outside its reasonable control. Section 7 applies to workshops we cannot deliver.
12.4 These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
